Job Description

Job Summary:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks in a fast-paced environment. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company's general administrative activities.

Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.

Key Responsibilities:

  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Must be proactive and observant, with a keen eye for detail
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Assist training and documenting training data base
  • Book travel arrangements
  • Coordinate events/offsite meetings
  • Management of special projects as required
  • Must be able to work overtime as needed
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Track temporary associates validate hours
  • Assist in staff timekeeping and departmental scheduling duties. Prepare Personnel Action Notice (PAN) forms for appropriate signature and approval.
  • Practice confidentiality in all clients, employees, and management related matters.
  • Liaise with human resources and senior administrative assistants to handle requests and queries from senior managers
  • Completes other duties and special projects as requested by management
  • Performs work under direct supervision.
  • Handles basic issues and problems and refers more complex issues to higher-level staff.

  • Perform other duties as needed in support of business objectives assigned by supervisor.

Technical Skills & Abilities

  • Knowledge of office management systems and procedures
  • Familiar with office equipment, including printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Type 50 WPM

Education & Experience:

  • High School Diploma
  • Proven experience as an administrative assistant or office clerk

Requirements:

  • Must be at least 21 years of age.
  • Must be able to push, pull, move, and/or lift a minimum of 15 lbs. to a minimum height of 5 feet and able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.
  • Prolonged periods of standing, sitting at a desk, and working on a computer
  • Must be able to access and navigate each department at the organization's facilities.
  • Ability to get in and out of the vehicle and walk up and down stairs during your shift.
  • Must be able to stand, sit for prolonged periods of time, bend, kneel, squat, and twist.
