EXECUTIVE ASSISTANT

Contract: 6 months - 1 year (Possible Extension)

Location: Houston, TX 77010

Work Set Up: Hybrid (3 days office/2 days WFH)

Pay: Based on experience

Key Responsibilities:

  • Task Management and Communication: Promptly acknowledge all requests and provide regular updates on the status of assigned tasks until completion, ensuring transparency and reliability in all interactions.
  • Travel Coordination: Organize and manage business travel arrangements, including bookings, confirmations, and itinerary preparation.
  • Administrative Support: Provide comprehensive administrative and scheduling support, including managing calendars and prioritizing tasks effectively.
  • Personal Assistance: Assist with some personal tasks (i.e. immigration, settling into the US).
  • Expense Management: Prepare and submit accurate expense reports using the organization’s expense tool, Concur, ensuring timely processing and adherence to company policies.
  • Visitor Onboarding and Hosting: Facilitate logistics for procurement team members and suppliers visiting the Houston office, including:
  • Arranging airport pick-ups, accommodations, and office access badges.
  • Coordinating canteen cards or other office amenities.
  • Hosting suppliers in the office, ensuring hardware infrastructure for video and phone calls is ready and operational.
  • Technical Support: Gain proficiency in conferencing tools such as MS Teams, Zoom, and other platforms used by the company. Become familiar with hardware (e.g., video conferencing systems, phone setups) to support smooth communication during meetings and calls.
  • Event and Meeting Planning: Schedule and organize meetings, plan business meals (in-house and off-site), and coordinate department events and annual gatherings.
  • Document and Invoice Management: Handle the preparation, review, and distribution of documents, as well as processing invoices related to departmental and personal expenses.
  • Cross-Functional Collaboration: Serve as a liaison between various levels of management, departments, and external stakeholders, ensuring smooth communication and coordination.
  • General Support: Undertake additional responsibilities as required, demonstrating flexibility and adaptability.

Qualifications:

  • Proven experience in an executive support or personal assistant role, with experience handling both professional and personal tasks.
  • Fluency in Spanish (spoken and written) is required.
  • Strong organizational skills with the ability to manage complex tasks and prioritize effectively.
  • Familiarity with conferencing tools (MS Teams, Zoom, etc.) and office hardware systems (e.g., video conferencing equipment) is preferred, with the ability to troubleshoot basic issues.
  • Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels.
  • Familiarity with healthcare administration, insurance processes, and U.S. government agency procedures is highly desirable.
  • Proficiency in tools such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and expense management systems (e.g., Concur).
  • Ability to maintain discretion and confidentiality at all times.
  • A proactive and adaptable mindset, with the ability to problem-solve independently and manage sensitive matters.
