Job Description

Clerical and Administrative Tasks:

  • Answering phones and directing calls: Serving as the first point of contact for incoming calls and routing them to the appropriate personnel.
  • Managing correspondence: Handling incoming and outgoing mail, emails, and faxes.

  • Scheduling appointments and meetings: Organizing calendars, booking conference rooms, and sending out meeting invites.

  • Maintaining files: Organizing and managing both physical and electronic files.

  • Data entry and record keeping: Entering information into databases and maintaining accurate records.

  • Preparing documents: Assisting with the creation of reports, presentations, and other documents.

  • Ordering and managing office supplies: Keeping track of inventory and placing orders for necessary supplies.

  • Greeting visitors: Providing a welcoming and professional presence to clients and visitors.

  • Assisting with travel arrangements: Booking flights, hotels, and other travel logistics for employees.

Assisting with special projects: Contributing to the planning and execution of office events or initiatives.
Basic bookkeeping: May assist with light accounting tasks, such as expense reports or data entry for financial records.
Skills and Qualifications:
Strong organizational and time management skills: Ability to prioritize tasks and manage multiple responsibilities effectively.
Excellent communication and interpersonal skills: Ability to interact professionally with colleagues, clients, and visitors.
Proficiency in Microsoft Office Suite: Familiarity with Word, Excel, PowerPoint, and Outlook.
Attention to detail: Accuracy and thoroughness in completing tasks.
Ability to work independently and as part of a team: Effectively contributing to a positive and productive work environment.
Problem-solving skills: Ability to identify and resolve issues that may arise in the office.
