Reports To: Director of Development

The Child Care Council of Westchester champions the healthy development of children, families, and community by promoting quality early care and education.

We:

• Are Westchester County’s only 1-stop shop for child care resources, referrals and information for parents and employers.

• Help child care providers meet legal obligations, give high-quality care, and grow their businesses.

• Advocate for policies and resources to improve the quality and affordability of care

• Provide professional training

Summary Description

The Development Associate will provide support for all functions of the development office, with an extremely high level of efficiency, excellence and customer service. The ideal candidate will bring initiative and energy to our supportive, mission-focused team.

Key Responsibilities  

  • Maintain and maximize functionality of DonorPerfect donor database: create dashboards, generate reports and mailing lists; produce all donor acknowledgement letters 
  • Support management of foundation and corporate grants, ensure deadlines are met 
  • Collaborate with Director of Development to: 1) Identify new prospects through donor research, wealth screening, Board referrals, event attendance and external networks; 2) Identify new funding opportunities; 3) Cultivate and manage relationships with individual donors and philanthropic partners; 4) Develop and manage retention strategies, including stewardship touchpoints, upgrades, lapsed donor reactivation and milestone acknowledgments 
  • Assist with planning the Council’s annual fundraising events 
  • Assist with the planning and execution of fundraising campaigns and annual appeals 
  • Manage development office social media
  • Manage Constant Contact mailing list of donors/supporters 
  • Interface with printing, mailing and other vendors 
  • Serve as backup support for website content updates 
  • Keep NYS pre-certification vault current 
  • Support all Board member interactions

Cross-Departmental Collaboration : Ability to navigate and engage with various Council departments to ensure clear communication and seamless collaboration in promoting the Council’s diverse resources, membership opportunities, and services to clients and childcare providers.

Mission-Driven Advocacy & Representation : Professionally represent and uphold the Council’s mission to support the healthy development of children, families, and the community by advancing quality early care and education through:

  • Advocating for policies and resources that enhance the quality, affordability, and accessibility of childcare. 
  • Increasing awareness of the Council’s programs by actively participating in community events, outreach efforts, and direct engagement through emails and calls. 

Providing culturally relevant, inclusive, and accessible services through multiple communication channels, including in-person interactions, phone, mail, and email, to support donors, board members and community stakeholders. 

Key Performance Indicators (KPIs)  

  • Maintain high level of accuracy and maximize use of DonorPerfect database 
  • Response time for donor acknowledgement letters 
  • Increase social media engagement
  • Interdepartmental staff satisfaction; board member satisfaction 
  • Grants management and reporting – all deadlines met 
  • Administrative accuracy in all external communications 

Requirements  

  • Bachelors degree in a relevant field (communications, marketing, administration, etc.)
  • 1-2 years experience in an office setting; some experience in a fundraising department preferred 
  • Experience with donor or customer databases (Donor Perfect, SalesForce, etc.)
  • The ability to maintain privacy and confidentiality 
  • Ability to comfortably and professionally engage with Board members and donors and other key stakeholders 
  • Desire to build relationships and comfortable representing the organization in external settings 
  • Excellent English language communication skills, written and verbal. 
  • Strong proficiency with MS Office suite software 
  • Knowledge of professional use for social media channels 
  • The ability to multi-task, meet deadlines and remain highly organized 

 

Work Environment and Physical Requirements  

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds at times. 
  • Must have a car, valid driver’s license and minimum $100,000/$300,000 car insurance 
  • Must be available to work occasional evenings and weekends
