Listing Project Manager

Full-Time | In-Office (Walnut Creek, CA) | Salaried (Exempt)

We are seeking a Listing Project Manager to join our fast-paced real estate team in Walnut Creek.

Success in this role requires managing high volumes and shifting priorities, ensuring every listing stays on track while juggling multiple moving parts. The Listing Project Manager (LOM) oversees the full operational lifecycle of each listing, from signed agreement to pending contract. You will be responsible for planning property preparation, coordinating vendors and improvements, tracking budgets and expenses, and ensuring every listing launches on time and within scope.

The challenge lies in managing multiple listings at once, pushing vendors when needed, solving problems proactively, and keeping everything moving under tight deadlines. Strong operational coordination, client communication, and financial tracking are essential. This is an in-office position with a clear growth path for candidates who demonstrate operational leadership and system improvement over time.

Location and Schedule:

  • Full-time, in-office role based in Walnut Creek, CA.
  • Monday–Friday, 8:30 AM to 5:30 PM.
  • Flexibility is required during peak listing periods — occasional early morning vendor coordination or extended hours may be needed to meet critical deadlines.

Compensation and Benefits

  • Competitive full-time salary ($75,000–$90,000 per year, depending on experience)

Compensation:

$75,000 - $90,000 yearly

Responsibilities:
  • Plan and manage listing timelines from preparation through market launch.
  • Coordinate repairs, improvements, staging, photography, and marketing readiness.
  • Track budgets, vendor estimates, invoices, and escrow reimbursements.
  • Document all property improvements for buyer review and compliance.
  • Communicate proactively with clients, listing agents, vendors, and internal team members throughout the listing process.
  • Manage competing priorities across multiple active listings.
  • Identify operational risks early and implement solutions.
  • Work closely with the Listing Agent, Field Coordinator, Listing Coordinator, Transaction Coordinator, and Operations Assistant to ensure smooth handoffs and alignment.
  • Continuously refine and document listing processes to support future scalability.

Qualifications:

Required Qualifications:

  • 2–3+ years of experience in real estate operations, listing coordination, transaction coordination, or project management.
  • Strong organizational, prioritization, and financial tracking skills.
  • Excellent written and verbal communication skills.
  • Comfort managing high volumes and competing deadlines.
  • Valid driver’s license and reliable transportation for occasional property visits.

Preferred Qualifications:

  • 4+ years of experience in high-volume real estate operations or listing management.
  • Familiarity with residential property preparation processes and vendor coordination.
  • California real estate license or willingness to obtain within 12 months (not a sales role).
  • Experience using Google Workspace (Docs, Sheets, Calendar, Drive), AFrame (task management platform), Slack, MLS systems (Paragon or similar), Canva, and Follow Up Boss (CRM system).
